Photo booth planning checklist

Space, power, timing, branding and booking: what to sort before the day so your photo booth or 360 booth runs smoothly.

Updated October 2026

1. Space and power

  • Find a flat, level area. Grass, gravel and slopes make booths unsteady, especially a spinning 360 platform.
  • Check there's a standard power outlet within 5 metres. If not, tell us when you enquire.
  • Leave room for a queue, so guests waiting don't block a doorway, the bar or the dance floor.
  • Ask us for the exact space for your package. We include it in your quote.

2. Indoors or outdoors

  • Outdoor setups need to be covered, such as a marquee, verandah or pergola.
  • Have a backup spot inside. For safety, we may pause outdoors in rain, strong wind or extreme heat.

3. Pick your hours

  • Book the booth for when most guests are there and the mood is up, often from after the meal or speeches until the end.
  • Setup happens before your booked time, so you don't lose any hours to it.
  • Running a long day, like a launch or a full wedding? Longer packages cost less per hour.

4. Talk to your venue

  • Tell the venue you're bringing a booth, and ask about access times, loading and parking for suppliers.
  • Check whether the venue has its own rules for suppliers, so there are no surprises on the day.

5. Personalise it

  • Decide what goes on the photos or videos: names, date, a hashtag or your logo.
  • Send logos as high-resolution files, ideally with a transparent background.
  • For the photo booth, pick a backdrop that suits your colours or venue.
  • For the 360 Ultimate package, choose a music track you have the rights to use.

6. Lock it in

  • Enquire early for Saturdays, December and wedding season, as popular dates go first.
  • At Rosco, your date is secured once you pay a 30% deposit by PayID and we confirm in writing. The balance is due on the day.
  • Need to move the date? Tell us at least 14 days before and we'll move it once at no cost, subject to availability.
  • Planning to use the photos or videos for marketing? Mention it when you enquire, as commercial use needs our written permission unless your quote includes it.
